What is Capsule CRM?

Capsule is the CRM for the small British business that looked at Salesforce and HubSpot and thought that is far more than we need. Built in Manchester, it has deliberately stayed simple, affordable and pleasant, and it competes by being exactly enough rather than by having every feature. For a lot of small teams that is precisely the right trade.

What it does well

Simplicity is the whole point and it is executed well. Contacts, a sales pipeline, tasks and a shared team view cover what a small business actually uses, and the interface is clean enough that everyone adopts it. There is no consultant, no lengthy setup and no feature overwhelm.

The free tier for two users and two hundred and fifty contacts is a genuine starting point rather than a trial, and the paid tiers climb sensibly: Starter around fourteen pounds per user, Growth around twenty seven, Advanced around forty two, Ultimate around fifty four, with roughly twenty percent off on annual billing.

Being UK built, the support understands the UK context and the integrations lean toward tools UK small businesses actually use, including Xero and QuickBooks.

Where it falls short

The simplicity that makes it right for small teams becomes a ceiling for larger or more complex ones. Sophisticated marketing automation, deep analytics and heavy customisation are not what Capsule is for, and a scaling sales operation will eventually look at Pipedrive or HubSpot.

The contact limits on lower tiers can be reached faster than expected by a business with a large but low value contact list.

It is a CRM rather than a platform, so marketing and service live in separate tools.

The UK detail that matters

Capsule is a UK product with UK support and GDPR aligned contact handling, and its accounting integrations with Xero and QuickBooks suit a UK finance stack. As a CRM it carries no HMRC obligations itself. Prices exclude VAT and there is a free tier and a free trial on the paid plans.

Who should buy it

UK small businesses that want a simple, affordable, well made CRM without the weight of the big platforms, and anyone who values a free starting point. Larger teams needing marketing automation and deep analytics should compare against HubSpot and Zoho.
