What is Xero Payroll?

Xero Payroll is not a separate purchase in the way most payroll products are. It sits inside the Xero subscription, with an allowance that scales by tier: one person on Grow, five on Comprehensive, ten on Ultimate, and £1.50 per person per month on Ignite. That structure is the main reason to consider it, because payroll that posts straight to the ledger removes an entire reconciliation job.

What it does well

The journal posting is the real benefit. When a pay run completes, the wages, tax, National Insurance and pension liabilities land in the correct nominal accounts without anyone keying them. Anyone who has manually posted a payroll journal every month, and occasionally posted it wrong, will understand what that is worth.

Pension auto enrolment is handled properly, including assessment and the ongoing duties, with direct connections to the major UK workplace pension providers. For a small employer without a payroll specialist, having the assessment run automatically each period is the difference between compliance and an accidental breach.

Employees get a self service app for payslips, holiday requests and personal detail updates, which quietly removes a steady stream of admin from whoever runs payroll.

Where it falls short

It is built for straightforward payrolls. Multiple pay frequencies, complex shift premiums, salary sacrifice arrangements beyond the common cases, and detailed statutory reporting are all areas where a dedicated product such as Sage 50 Payroll or BrightPay will do more. Payroll bureaux in particular will find it limiting.

The per person allowances are easy to misread. Growing past your tier's included headcount means either paying per person or moving up a tier, and the step can be larger than expected. Model your headcount over the next year before choosing.

CIS subcontractor payments are handled in the main Xero product rather than in payroll, which is correct but occasionally confusing for construction businesses expecting to find everything in one place.

The UK detail that matters

This is UK payroll: RTI submissions to HMRC on or before payday, pension auto enrolment with assessment, statutory sick and parental pay, and the annual legislative updates that arrive each April. Because it lives inside Xero, the payroll and the accounts share one audit trail, which is a genuine advantage when an accountant or an inspector asks questions.

Who should buy it

Existing Xero users with straightforward payrolls up to roughly twenty five people. If you already pay for Xero, using anything else means running two systems and reconciling between them, and the case for that has to be strong. Businesses with complex pay arrangements should look at Sage 50 Payroll or BrightPay instead.

Great if your payroll is simple

Auto enrolment assessment runs each period without me remembering. Only real gripe is that moving past your tier headcount costs more than expected.
